Qualifications:

All candidates for this position MUST meet the following requirements:

  • Cheerful personality
  • Minimum 1 year experience as receptionist or administrative assistant, preferably with a professional services firm
  • High school or equivalent (Required)
  • Authorized to work in the U.S. without employer sponsorship

Responsibilities include:

  • Greet clients by phone or in person and find out the nature of their call or visit;
  • Operate a multi-line telephone system in order to answer, connect, hold, transfer and disconnect telephone calls;
  • Take accurate messages, correctly spelling caller’s name and contact information;
  • Assist tax preparers with organizing, assembling, copying, filing, scanning; and sending tax returns, extensions, and reports to the IRS and clients;
  • Collect invoice payments by check or credit card;
  • Must be proficient in all Microsoft Office programs, Word, Excel, Outlook, and Adobe;
  • Sort and distribute incoming mail to office staff and prepare outgoing first class mail, certified mail, FedEx, and UPS;
  • Create or update forms, letters, labels, reports, and spreadsheets, using Microsoft Word and Excel;
  • Operate a range of office machines such as a scanner, copier, computer, printer, fax machine, postage machine and calculator;
  • Keep reception area neat and organized as well as kitchen, copy room, and supply room. Make sure supplies are properly stocked;
  • Run errands as requested, such as to the post office, FedEx and UPS drop boxes, bank deposits, and office supply stores. You will be reimbursed for mileage.
  • Provide ongoing administrative assistance, as needed;
  • Work on incorporations and other general business projects.
  • Highly adaptable with ability to work efficiently and accurately;

Language: English. Mandarin, Spanish or other second languages is a plus
